Data Management Plans

If you collect data for a publicly-funded project, you may be required to submit a data management plan (DMP). This is true specifically for Horizon Europe and Austrian Science Fund (FWF) projects, but you may also be required to deliver a DMP by your institution.

In the ANC we understand that it may be challenging to find and fill in all necessary information in the DMPs. Therefore, we prepared summary texts for the FWF's DMP template, which can be used when the data is deposited in the ANC. Please contact the ANC if you find any information missing.

The texts here describe all data management aspects covered by the ANC. However, these texts do not make your DMP complete. You still need to fill in the information specific to your project.

Note: We are aware of the maDMP standard and we are monitoring its developments, especially in the context of the OSTrails project. We will be happy to provide an maDMP template file when such need arises.

I General Information
I.1 Administrative information ANC information: Austrian NeuroCloud (ANC) is a FAIR-enabling domain specific repository for neuroscience data. I.2 Data management responsibilities and resources ANC information: All collected data will be managed in the ANC repository. The ANC services include data storage, active metadata curation and FAIRification, data sharing, data digital preservation, and data dissemination. The project members will actively collaborate with the ANC data stewards on RDM tasks. Currently, the ANC offers its services free of charge.
II Data Characteristics
II.1 Data description and collection or re-use of existing data ANC information: Data formats for storage and sharing will be chosen according to the recommendations of Brain Imaging data Structure (BIDS) [1] - an internationally recognized specification for organizing neuroscience data - and the ANC Data Format Requirements [2]. BIDS endorses open file formats whenever feasible. For data types not covered by BIDS, the ANC will assist the project members to choose suitable and preferably open file formats.

III Documentation and Data Quality
III.1 Metadata and documentation ANC information: Data organisation: The collected data and metadata is organised following BIDS Specification [1]. FAIRification: The ANC provides continuous support with data and metadata curation and FAIRification as outlined in Data Stewardship Policy [7]. Metadata and re-use: Metadata follows BIDS specification. The ANC enforces some stricter rules than in BIDS described in Data Format Requirements [3]. The ANC endorses enriching metadata with designated community standards, including Neurobagel [4] and Hierarchical Event Descriptors [5]. Metadata dissemination: The ANC disseminates the metadata using several channels described in Metadata Specification [6]. Version control: The data stored in the ANC is version-controlled using Git [2]. The ANC implements fine-grained tracking of changes at the file level.
III.2 Data quality control ANC information: The ANC automatically and continuously validates data and metadata against the newest BIDS specification. The validation results are available to all users with access to the data. As outlined in Data Stewardship Policy [7], the ANC provides support in curating data, updating metadata to the newest BIDS specification, and resolving any issues.

IV Data Storage, Sharing, and Long-Term Preservation
IV.1 Data storage and backup during the research process ANC information: Storage and backup: The ANC manages data with self-hosted GitLab instance and stores data on its own hardware hosted at the University of Salzburg. The backup strategy consists of: one on-site backup, one geographically distant off-site backup for disaster recovery, automatic daily backups. The ANC provides data disaster recovery. Data security: Data access is managed through GitLab's robust user management system, where user roles and explicit dataset assignments strictly control data visibility and modification rights. User accounts must be explicitly approved and manually created by ANC administrators. Physical and network access to data storage is secured and managed by Salzburg Collaborative Computing. Data protection: Data consisting personal information has always restricted access as specified in Public Data Sharing Policy [2]. The ANC collaborates with the Department of Civil Law of the University of Salzburg and the University's Data Protection Officer, ensuring alignment with legal and regulatory frameworks.
IV.2 Data sharing and long-term preservation ANC information: Data sharing: After data collection and curation, the ANC will assign a DOI following its Persistent Identifier Policy [3]. The ANC disseminates the metadata using several channels described in Metadata Specification [4], including custom data interface [5] and an API for programmatic use [6]. According to Transfer and License Agreement [7] and Public Data Sharing Policy [2]: metadata is released under CC0 license, datasets with personal data have restricted access and are shared based on the ANC License, data without personal data are shared using CC-BY license. Once data is published to general public or access to restricted data is specifically granted [9], data can be viewed directly in the ANC GitLab interface and downloaded using standard Git tools. Data preservation: As outlined in Data Stewardship Policy, the ANC provides digital preservation by continuously monitoring the designated community and applying necessary updates to the data when standards evolve. Data retention: The ANC’s commitment to data retention is defined in its Transfer and License Agreement [7], which states that the repository will store deposited datasets in a sustainable manner, to the best of its ability and resources. Currently, minimal retention periods cannot be formally guaranteed. At this point, the ANC stores data for as long as possible.

V Legal and Ethical Aspects
V.1 Legal aspects ANC information: Legal framework: The ANC's legal framework is covered by the ANC Main Terms: Terms of Service [1], Transfer and License Agreement [2], and ANC License [3]. These terms comply with European and Austrian law, including data protection (GDPR, Datenschutzgesetz), research organisation and re-use (Forschungsorganisationsgesetz, Informationsweiterverwendungsgesetz), and intellectual property (Urheberrechtsgesetz). Data ownership and access rights: Data deposited in the ANC remain the property of the depositor, who retains full ownership and access control to the data. The depositor determines the license and access restriction to the data. Complying with GDPR, access to data containing personal information must be restricted. Is such a case, the data can still be shared with specific ANC users under the ANC License [3]. Depositors warrant that they hold the necessary rights to deposit their datasets and license them for use within the ANC. They remain fully responsible for ensuring compliance with copyright, data protection, and other applicable laws, and indemnify the ANC against any third-party claims. Intelectual property: Intellectual property rights are not transferred to the ANC or to users. They remain with the depositor and are licensed by the depositor to the ANC and then to users under the ANC Licence [3] (in case of data containing personal information), CC-BY or any pre-existing license. Personal data: The ANC strongly advocates for not collecting or storing personal data unless necessary. In such a case, as outlined in Public Data Sharing Policy [4], the access to the data must remain restricted and is granted to authorized users only under the ANC License [3]. When personal information is anonymised, all ANC users under Terms of Service [1] are prohibited to make any attempts, even for research purposes, to re-identify data or to publish or disseminate re-identified data.
